Create your own custom notes, in case the built-in options are not quite what you need.
Our Auto-SOAP notes are quite customizable, but we know they can't handle every scenario. Now you can create custom prompts to have your notes formatted in any way you choose. Create as many as you want, and choose which one to use when recording each note from the mobile app.
If you've used the Talkatoo Assistant in the past for this task, it's the same idea, just much faster and easier!
If you have not used the Talkatoo Assistant for it, but are familiar with Chat-GPT or similar AI, you are creating the prompt to tell Talkatoo exactly what to do with the provided text.
Creating a Custom Template
To get started, log in to the Talkatoo Portal and click the settings gear icon on the top right. Then select Custom Notes on the left.
As an example, let's create a Custom Note for a more detailed SOAP note that adds several new sections to our regular Auto-SOAP note.
1. Add a title: This will be used to select this template from the dropdown on your phone so ensure it's different enough from any others you create.
2. Add the Initial Command: Type (or use Talkatoo to dictate) exactly what you want the Talkatoo AI to do with your note.
If you want it to fill in a given template, you will add it in this section.
For our example I have pasted our standard SOAP template, and added sections for Patient name, age, other info, tests performed, and medications.
3. Add optional content formatting instructions:
In this section, be specific by including what you want (and where), what you don't want included in the note, as well as any formatting instructions. For our example I told it to include the following:
At the bottom of the note, include the clinic name as Danny's Veterinary Clinic, and the name Dr. Danny Strood.
Keep the sections brief by using point form in all of the sections aside from Objective. Bold all section titles and any abnormal findings.
Once you've finished making your template, click Save Changes at the top.
Record using your Custom Note Template
Once you've created your template[s], you can use them from your Talkatoo Mobile app. If you have just created the template, and don't yet see the new entry, you can either quit and relaunch the app, or give it a couple of minutes to sync.
When you go to the Notes section, you have a dropdown where you can choose between the built-in templates, and your Custom Notes.
Select the template you created, and then record your notes about your visit, or record the entire appointment itself.
Retrieve your Custom Note
As with the original SOAP note, once you've submitted the note, you can retrieve the formatted version from the Web Portal, the desktop app, or the Mobile App. Likewise, you will also have access to the transcript, and the original audio if you need it for reference.
For our example, I chose the entry I created: detailed soap note, and I recorded a note about Willie who presented for vomiting, and provided all of this other information about the visit and subsequent tests. Below you can see part of the output.
Notice how it used the template I provided, and it also respected my commands to use point form and to bold any abnormal findings as well as the section titles.
You will likely need to refine your templates as you find what works best and what doesn't, so you can always go back and edit them.
As always, changes made to a template will only affect new notes submitted after the changes have been made. That means that if you find something you want to change in a recorded note, you will have to manually make the fixes in that particular note.
